How to Install Zotero: A Step-by-Step Guide for Researchers
Managing references can quickly become one of the most frustrating parts of academic research.
As your literature review grows, keeping track of journal articles, books, reports, PDFs, authors, publication years, DOIs, and citation styles manually becomes increasingly difficult. A reference management tool such as Zotero can help researchers organize their literature and simplify the process of inserting citations and bibliographies into academic documents.
The good news is that getting started with Zotero is relatively straightforward.
This guide walks you through the Zotero installation process for Windows and Mac, setting up the browser connector, connecting Zotero with your word processor, and checking that everything is working correctly.
What Is Zotero?
Zotero is a reference management tool that helps researchers collect, organize, manage, and cite scholarly sources.
It can be used to:
Save references from academic databases and websites
Organize sources into collections
Store and manage research PDFs
Add notes and tags to references
Insert citations into documents
Automatically generate bibliographies
Switch between different citation styles
Zotero's official documentation currently supports desktop applications for Windows, macOS, and Linux, along with browser connectors and mobile applications.
For researchers working on dissertations, theses, systematic reviews, research papers, or literature reviews, a reference manager can save considerable time and reduce repetitive citation work.
Before You Install Zotero
Before beginning, make sure your computer meets the basic requirements.
Current Zotero requirements include:
Windows 10 or later
macOS 10.15 or later
Linux support
Zotero also provides browser connectors for supported versions of Chrome, Edge, Firefox, and Safari.
You will also want to have your preferred word processor installed if you plan to insert citations directly into your documents.
Step 1: Download Zotero
Always download Zotero from the official Zotero website rather than from third-party software-download websites.
Download Zotero from the official website
The current download page provides installers for:
Windows 64-bit
Windows ARM
Windows 32-bit
macOS
Linux
(If you do not see the option for windows > Click on 'OTHER VERSIONS')
The download page also provides access to the Zotero Connector, which allows you to save references directly from your web browser.
Step 2: Install Zotero on Windows
Once the Windows installer has downloaded:
1. Locate the installer
Open your Downloads folder and find the Zotero setup file.
2. Run the installer
Double-click the downloaded file.
Windows may ask you to confirm that you want to run the application.
3. Follow the installation instructions
Follow the instructions displayed by the Zotero installer.
For most users, the default installation settings are appropriate.
4. Complete the installation
Once installation is complete, launch Zotero from the Start Menu or desktop shortcut.
Zotero's official documentation notes that Windows users can also perform a local installation if they do not have administrator permissions.
Step 3: Install Zotero on Mac
Installing Zotero on macOS is equally simple.
1. Open the downloaded file
Locate the downloaded .dmg file and double-click it.
2. Move Zotero to Applications
Drag the Zotero application into the Applications folder.
3. Launch Zotero
Open Applications and double-click Zotero.
You can also launch it using Spotlight or Launchpad and add it to your Dock if you use Zotero regularly.
4. Remove the installer if needed
After installation, you can eject and delete the downloaded .dmg file.
These are the standard installation steps provided in Zotero's official documentation.
Step 4: Install the Zotero Connector
Installing the Zotero desktop application is only part of the setup.
The Zotero Connector allows you to save references from your browser directly into your Zotero library.
For example, while viewing a journal article in a supported database, you may be able to click the Zotero Connector icon in your browser and save the reference to your library.
Connectors are currently available for:
Google Chrome
Microsoft Edge
Mozilla Firefox
Safari
The Safari connector is bundled with Zotero and can be enabled through Safari's Extensions settings.
Why is the Connector important?
Without it, you would frequently have to enter bibliographic information manually.
With the Connector, Zotero can often capture bibliographic information directly from the webpage you are viewing.
However, always check the imported metadata. Automated capture is convenient, but author names, journal titles, publication dates, page numbers, or DOI information can occasionally be incomplete or incorrect.
Step 5: Open Zotero and Create Your Library
Once Zotero is installed:
Open Zotero.
Familiarize yourself with the main library window.
Create collections for different research projects or topics.
Add a few test references.
For example, you might create collections such as:
PhD Thesis
Literature Review
Methodology
Systematic Review
Papers to Read
The exact structure will depend on how you work.
The goal is to create an organization system that remains useful when your library grows from 20 references to several hundred.
Step 6: Connect Zotero with Microsoft Word
One of the most useful features of Zotero is its integration with word processors.
The Zotero Word plugin is bundled with Zotero and should normally install automatically when Zotero is first launched. Zotero currently supports integration with Microsoft Word and LibreOffice, while Google Docs integration works through the Zotero Connector.
After installation
Open Microsoft Word and look for the Zotero tab in the ribbon.
You should see options for functions such as:
Add/Edit Citation
Add/Edit Bibliography
Document Preferences
Refresh
These tools allow you to insert citations and generate bibliographies directly within your document.
Step 7: What If the Zotero Tab Does Not Appear in Word?
This is one of the most common issues new users encounter.
First, don't reinstall everything immediately.
Try the following:
Close Microsoft Word.
Open Zotero.
Go to Settings/Preferences → Cite → Word Processors.
Select the option to reinstall the Microsoft Word add-in.
Reopen Word.
Zotero's documentation specifically recommends reinstalling the Word add-in through the Cite → Word Processors settings when the plugin is missing.
If the problem continues, check whether security software or institutional computer restrictions are preventing the plugin from being installed.
Step 8: Test Your Installation
Before starting your actual thesis or research paper, perform a simple test.
Try this:
Open Zotero.
Add one journal article to your library.
Open a blank Word document.
Go to the Zotero tab.
Select Add/Edit Citation.
Search for the article.
Insert the citation.
Select Add/Edit Bibliography.
If the citation and bibliography appear correctly, your basic Zotero installation is ready.
Common Zotero Installation Problems
Zotero Does Not Open
First, check that your operating system meets the current Zotero requirements.
If you are using an older operating system, compatibility may be the issue.
You can also try restarting your computer and reinstalling the latest version from the official Zotero website.
Zotero Connector Is Missing
Make sure you have installed the Connector for the browser you actually use.
For Safari, remember that the Zotero Connector is bundled with Zotero and needs to be enabled through Safari's Extensions settings.
Zotero Tab Is Missing in Word
Close Word and reinstall the Word add-in from:
Zotero → Settings → Cite → Word Processors
Then restart Word.
Word Plugin Installation Fails
On some systems, security software, permissions, or Word's Startup folder can interfere with installation.
Zotero recommends troubleshooting the underlying issue rather than relying permanently on manual plugin installation, because manually installed plugins may need to be reinstalled when they are updated.
If the computer belongs to your university or organization, you may also need assistance from your institution's IT team.
A Few Things to Do After Installation
Installing Zotero is only the first step.
Once everything is working, consider setting up a consistent workflow.
1. Create a logical folder structure
Don't allow every reference to accumulate in one large library.
2. Check imported metadata
Before citing a source, verify:
Author names
Article title
Journal name
Year
Volume and issue
Pages
DOI
3. Install the browser Connector
This will make collecting references much faster.
4. Learn the citation workflow
Practice inserting a citation and generating a bibliography before beginning your major thesis chapter.
5. Keep Zotero updated
Zotero generally updates itself automatically, and new versions can also be installed over an existing installation without losing your data.
